Job Purpose
The Development Associate is the senior level administrative support for the Vice President, Leadership Philanthropy and the Leadership Philanthropy portfolio. Reporting directly to the Vice President, the incumbent and their direct report(s) will provide administrative leadership and fundraising support to the Vice President, Campaign Director, Director of Leadership Philanthropy and Senior Manager, Campaign and their teams. The Development Associate also acts as a point of contact between the Leadership Philanthropy portfolio and the Executive office of the Society (Chair of the Board, CEO and SLT) as well as senior Campaign leadership volunteers (Campaign Cabinet and Executive).
Duties and Responsibilities
- Provide strategic senior support to the Vice President, Leadership Philanthropy, including scheduling internal and external meetings, travel arrangements and itineraries, and call preparation, enabling the Vice President to actively raise funds from leadership giving prospects/donors ($1 million+ level).
- Routinely provide confidential administrative support to the Vice President, Leadership Philanthropy as well as managing confidential material for the campaign management team including human resources (HR) and donor information.
- Proactively manage the Vice President’s prospect/donor activity within the major gift prospect management system of Raiser’s Edge to schedule and record activity and information; maintaining accurate donor records in the portfolio’s electronic and hard files.
- Assist the campaign management team with the execution of personalized Leadership donor strategies, including editing, packaging and distribution of proposals, stewardship reports and Campaign collateral materials, as well as drafting thank you letters and other correspondence.
- Provide strategic confidential support to senior leadership volunteers (Campaign Cabinet and Executive) during various phases of the campaign.
- Prepare and reply to routine correspondence or inquiries on behalf of the Vice President and submit for signature, together with background material; review mail and flag urgent matters, including e-mail inquiries received in general inbox.
- Responsible for the day-to-day administrative support of the Leadership Philanthropy portfolio, including managing the filing system (hard copies and electronic), handling phone inquiries, faxing, copying, invoice processing, expense claims, and coordinating office supplies.
- Plan and organize internal and external meetings related to the Campaign including coordinating dates, schedules, locations, catering, agendas, materials, and attending as required.
- Act as HR point of contact for administration, which includes assisting with; offer letters, attendance tracking, new hire paperwork and disability documentation.
- Assists in the development, implementation and monitoring of portfolio project plans (including tools and resources).
- Monitors and maintains the portfolio budget and communicates the status accordingly.
- Oversee the Leadership Philanthropy’s content on the intranet (MyCCS and website) in collaboration with the Senior Advisor, Campaign Communications.
- Responsible for recommending process improvements and systems enhancements within the portfolio.
- Manages the administrative team in the portfolio to ensure efficient and effective workflow in support of the Planned Giving and Tribute programs;
- Assist in providing direction to LP administrative team.
- Other duties/projects as assigned.
Health and Safety Responsibilities
- Work in compliance with the provisions of the Occupational Health Safety Act and its regulations. (Use or wear any protective equipment or devices required, report any incidents, unsafe conditions or health and safety contraventions to your manager, and do not use equipment in any way that may endanger any worker or volunteer.)
- Review and comply with the Canadian Cancer Society’s health safety policy
Qualifications
- Post-secondary education at a University or College level (preferably in Non-profit management and/or fundraising) with several years of experience in a similar type of position (or an equivalent combination of education and experience).
- Several years office experience and knowledge of office procedures, experience in a fundraising or non-profit /volunteer environment would be an asset.
- Superior written and communication skills to communicate effectively with a range of staff, volunteers, donors and stakeholders.
- Excellent interpersonal, organizational, and customer service skills.
- Initiative and discretion.
- Ability to evaluate, enhance administrative and procedural routines, and ensure high quality productivity.
- Strong analytical, problem-solving, and attention to detail.
- Sound judgement and polished telephone and presentation manner.
- Respect for confidentiality.
- Exceptional customer service and interpersonal skills to provide information and support to internal and external customers, donors and vendors.
- Highly proficient in MS Office (Word/Excel/Power Point).
- Experience in working with Network Systems and databases. Experience working with Raiser’s Edge would be a definite asset.
- Excellent organizational skills to plan and prioritize own workload and ability to multi-task.
- The ability to work both collaboratively within a team and independently with minimal supervision.
- Demonstrate maturity, flexibility, initiative, tact, diplomacy, attention to detail, and creativity.
- Knowledge of Canadian Cancer Society policies and procedures.
- A criminal records check is required.
- Non-smoker.
